ExtraStiftelsens Privacy policy for FluidReview

The Kavli Trust Programme on Health Research uses FluidReview to collect and review research proposals/applications. To do this we need some to store some personal data and we need your consent to do this.

It is the Norwegian foundation ExtraStiftelsen Helse og Rehabilitering (Akersgata 28, 0158 Oslo, Norway) that is managing the programme on behalf of The Kavli Trust and is the data controller.

The personal data described below is collected to be able to:

  • Contact applicants regarding questions related to their applications
  • Help applicants/users when they contact the Kavli Trust with questions regarding their applications
  • Verify the existence of applicants and collaborating researchers
  • Evaluate/review the applications/proposals

Roles

We collect personal data for different roles in the process and the research project:

  • Registered user (RU) – The RU is the person signing up for an account in FluidReview and who has access to the different application/proposal It is the RU that submits the application/proposal.
  • Principal investigator (PI) – The PI is the person that is supposed to lead the research project if In most cases the RU and the PI is the same person.
  • Collaborating researcher (CR) – In many cases the proposed research project will have several collaborating The RU is asked to provide this information.
  • User representative (UR) – When submitting the full proposal the RU is asked to name two user

The process and forms

The personal data is provided in different stages of our application process.

  1. Registering a
  2. Pre-proposal. To apply the RU is required to fill out and submit a pre-proposal form and the PIs
  3. Full Some RUs are invited to submit full proposals. The full proposals consist of a full proposal form and several attachments.

What personal data we collect and why

Registered user

When you register in FluidReview you will have to register using the following personal data:

  • Name
  • E-mail

Why we need your name and e-mail and when it will be deleted

This information is collected for us to be able to communicate with our users and to connect users with their tasks (like filling out different forms). Also, the information is used to check if we have received similar applications in previous application rounds.

Because of this we need this information as long as you are a registered user. You can ask for the personal data to be deleted at any time. Use this form to request an overview of what information we have stored and to ask for deletion.

Additional personal data collected if/when the RU fills out a pre- proposal form

When the RU starts filling out the pre-proposal form, he/she will be asked to provide the following information regarding the principal investigator (PI, most likely the same person as the RU):

  • Name of principal investigator (PI)
  • E-mail of PI
  • Phone number of PI
  • Workplace of PI
  • Title of PI

Why we need this information and when it will be deleted

This information is collected to enable The Kavli Trust to verify the existence of the PI and to contact him/her if needed. Also, the information is used to check if we have received similar applications in previous application rounds.

Because of this we need this information as long as you are a registered user. You can ask for the personal data to be deleted at any time. Use this form to request an overview of what information we have stored and to ask for deletion.

Additional personal data in the uploads required to submit the pre- proposal

  1. We ask for all the above mentioned information and additional information on previous work experience (which might be personal data) in the CV that we ask all applicant to upload before submitting the pre-proposal.

Why we need this information and when it will be deleted

We need this information to be able to evaluate/review the qualifications of the PI and the research environment. Also, the information is used to check if we have received similar applications in previous application rounds.

Because of this we need this information as long as you are a registered user. You can ask for the personal data to be deleted at any time. Use this form to request an overview of what information we have stored and to ask for deletion.

Additional personal data if/when the RU fills out a full proposal form

We do not collect any additional personal data on the PI in the full proposal form, but if you are collaborating with other researchers and will include user representatives in your project you are asked to provide the following personal information on them:

  • Name
  • E-mail
  • Phone number
  • Work place
  • Title

Why we need this information and when it will be deleted

This information is collected to enable The Kavli Trust to verify the existence of the collaborating researchers and to contact them to verify that they are aware that they are part of the application. Also, the information is used to check if we have received similar applications in previous application rounds.

Because of this we need this information as long as you are a registered user. You can ask for the personal data to be deleted at any time. Use this form to request an overview of what information we have stored and to ask for deletion.

Additional personal data in the uploads required to submit the full proposal

Project protocol: We also ask for all the above mentioned information in the project protocol that we ask all applicants to upload before submitting the full proposal.

CVs for the collaborating researchers. The RU will be asked to upload the CV of the most central collaborating researchers.

Why we need this information and when it will be deleted

This information is needed to be able to evaluate quality the project and to connect the protocol to the right applicant. Also, the information is used to check if we have received similar applications in previous application rounds.

Because of this we need this information as long as you are a registered user. You can ask for the personal data to be deleted at any time. Use this form to request an overview of what information we have stored and to ask for deletion.

Who will get access to the personal data?

Administrative staff

The administrative staff of The Kavli Trust and The Kavli Trust Programme on Health Research will have access to all the information described above. Reviewers

The members of The Kavli Trust Scientific Review Committee will have access to all the information submitted in the pre-proposals and the full proposals. The members of the review committee are presented here.

Kavli Trust board members

In order to make the final decisions on the applicants that should be invited to send full proposals and the proposals to fund The Kavli Trust Board will need some information (sometimes all the information submitted in the pre-proposals and the full proposals). How can you check what personal data we have stored?

Site users have the ability to request to see all the information available on them within the site. Users may contact the administrator directly or may submit a request through FluidReview’s form.
